This case study delves into my journey of creating the business analytics dashboard for club managers within Virtuagym's platform. It serves as an integral component of a business analytics tool, enabling club managers to effectively monitor the performance of their staff, classes, and clients.

In the project, I was responsible for designing Virtuagym's dashboard for club managers. My goal was to simplify their management of classes, staff and clients. My approach was based on  research and ideas gained from interviews with club managers.

Project Overview

Problem Statement

Club managers needed an all-in-one solution to track the performance of their staff, classes, and clients. The existing dashboard  was not  capable of providing a full view. Our objective was to create an organized dashboard that would simplify their management responsibilities while also enabling them to make informed choices across all aspects of their business.

Approach

I followed the Double Diamond Method because is a well-established framework for design thinking that involves four distinct phases: Discover, Define, Develop, and Deliver. Here's why it's a strong choice for my project:

Discover

Research

In the early stages of this project, I conducted extensive discovery research to gain a deep understanding of the needs, challenges, and expectations of club managers within the fitness industry. The primary objectives of this research were to identify pain points in their current management processes and to identify opportunities for creating a more efficient and user-friendly dashboard.

The main topics and questions discussed revolved around their current management processes, pain points, and expectations for the dashboard

Interviews to get to know the clients

During the "Client Empathy" phase, I conducted in-depth interviews with four different club managers. These interviews provided valuable insights into their current management processes, pain points, and expectations for a dashboard that could enhance their daily operations.

A dashboard with improved speed, user-friendly interface, and data analysis tools for better decision-making.

Uses a combination of email communication and paper records to coordinate staff and class information.

Lack of centralized communication, difficulty updating real-time schedules , and challenges in tracking attendance.

A dashboard that offers a centralized platform, real-time updates for class schedules, and attendance tracking features.

Slow software performance, limited data analysis capabilities, and a lack of user-friendly features.

Relies on a legacy software tool for staff management.

Uses a combination of a calendar app and manual record-keeping to oversee class schedules and client information.

Inefficient client data management, challenges in tracking client attendance, and difficulty in making data-driven decisions.

Stakeholder analysis

I created this stakeholder map to identify, clarify, and align the interests and needs of key stakeholders in the project. By recognizing the stakeholders and their specific interests, the map enhances communication, guides decision-making, and ensures that the project's objectives and features align with the expectations and requirements of these stakeholders.

Feature Prioritization

I chose the MoSCoW method for feature prioritization in this project because for categorizing and prioritizing metrics based on their importance and relevance. I needed a clear way to distinguish "Must-Have" metrics that are crucial for the dashboard's success, "Should-Have" features that are important but not critical, and "Could-Have" features that offer additional value.

Card sorting

In the card sorting process, I engaged stakeholders, including club managers, to collaboratively organize and categorize the identified metrics and features. This exercise allowed us to determine how the metrics and features would be presented on the dashboard. The participants were given cards with individual metrics and features written on them, and they were asked to group these cards into three main categories: classes, staff, and clients.

Information Architecture

In the information architecture chart, I strategically selected specific chart types for each dashboard, considering their distinct purposes, target audiences, and the relevance of data. This approach ensures that each dashboard effectively conveys information to its intended users, contributing to a more user-friendly and data-driven experience.

Needs and expectations of the end user

I created this persona to gain a comprehensive understanding of club managers' specific requirements and objectives in effectively managing their fitness clubs. This persona serves as a valuable point of reference throughout the project, guiding decision-making and ensuring that the dashboards and functionalities are designed to address the club manager's key concerns.

How my staff members are doing?

How my clients are doing?

How my classes are doing?

As a club manager I want to know…

"Which classes have the highest attendance, and which ones need improvement?"

"Are there any patterns or trends in class attendance across different times or days?"

"What is the utilization rate of our class facilities, and which classes have waiting lists?"

"Can I see historical data on class performance, such as attendance over the past month?"

"How many staff members are on duty during peak and off-peak hours?"

"Can I track staff punctuality and attendance for scheduled shifts?"

"Is there a performance overview of individual staff members, and are there consistent issues?"

"How well do staff members respond to member inquiries, requests, and concerns?"

"What is the overall engagement level of our club members, and how often do they check in?"

"Which clients have the highest attendance and are the most loyal to our club?"

"Can I track retention rates and identify members at risk of churning?"

Dashboard Layout

After extensive case study research, I identified an effective approach for dashboard design. It involves presenting an overview of key metrics at the top for quick reference, followed by more detailed card-based information and analytics. This layout allows for card flexibility, accommodating various graphs and visualizations as needed.
